Supportive Professional Staff (SPS)

The recruitment of a new employee is an important decision. We expect each recruitment decision to signal a long term commitment. SPS positions require several steps to complete the hiring process. Human Resource Services is here to guide you through this process with the goal of hiring the best candidate for the position.

Search Committee

Departments seeking to refill a SPS are required, per Board of Trustee Regulations, to utilize a search committee. Search committees play a vital advisory role in the identification, recruitment and reviewing of candidates. Committees are appointed in accordance with University procedures, but all have the common goal of filling open positions with individuals who will advance the University's mission.

Identification of the search committee members should be submitted through PeopleAdmin. Human Resource Services, Affirmative Action Office is available to conduct search committee training with newly formed committees.

Waiver Process

Faculty and Supportive Professional Staff (SPS) positions are generally filled by means of a full competitive regional/national external search (external search) as outlined in the University’s Academic Policies and Procedures Manual (APPM) for Faculty and SPS Searches and Appointments. Departments may submit a Search Waiver Request Form in situations where a full search is deemed unnecessary, inefficient, or time/cost prohibitive.   All sections of this form must be completed in NIU’s PeopleAdmin System and include the required justification for the request. Posting the Position

Positions are posted by Human Resource Services on the Human Resource Services website. There are two major steps that are needed, in order to post the position, both of which will be done in PeopleAdmin:

  • Presidential Approval - All positions require Presidential approval prior to posting. The only exceptions are those positions that are 100% grant-funded. If any portion of the position is funded by a non-grant source, then Presidential approval is required.
  • Job Description - An updated job description is needed before the position can be posted. The job description must include a breakdown of duties by percentage of time.  If you require assistance with the development of the job description, please contact HR.

External Search Firms

In accordance with The Northern Illinois University Law (110 ILCS 685/30-1, et seq.) and Board of Trustee policy, the hiring department must receive Board of Trustee approval to employ an external search firm. Utilization of an external search firm is restricted to the recruitment of the President and other highly skilled administrators.

Extending an Offer of Employment

Once the final candidate has been selected and approved in PeopleAdmin, then a contingent offer pending background check can be extended. Supportive Professional Staff employment contracts at Northern Illinois University follow the fiscal year timeline with few exceptions. Under certain circumstances, for example when a position is funded from a grant with a different fiscal year or the appointment follows the academic year; the contract dates may follow an alternate timeline.
